Overview & Responsibilities

GENERAL ACCOUNTABILITIES

In this fast-paced position, you will act as the right-hand to the Accounts Payable Manager. You will be responsible for overseeing the day-to-day operations of the Accounts Payable department. You will be accountable for providing work direction and problem solving ability to team members while ensuring company policies and procedures are followed. You will demonstrate strong leadership ability, a positive attitude, and excellent communication skills. You will commit to achieving predetermined goals while working within the framework of the Accounts Payable and Corporate Accounting Department policies.

SPECIFIC RESPONSBILITIES

90% Operations Support

Supervision/ Leadership:Provides a high level of customer service and fosters team building. Builds strong relationships with peers, stakeholders and management.

  • Communicate job expectations, planning, monitoring, and appraising job contributions

  • Leads and provides guidance to operations staff of two (2)

  • Oversee work performance of employees including establishing goals and monitoring results

  • Leads and provide day-to-day support/guidance to team

  • Responsible for hiring, training, coaching and writing performance evaluations

AP Operations:

  • Works with Treasury on cash forecasting and cash flow

  • Prepares annual 1099 reports to ensure accurate reporting to the IRS

  • Ensures transactions are in accordance with applicable authority, policies, procedures, and consistent with GAAP

  • Assists with acquisitions to ensure complete setup of new suppliers

  • Supports other finance and procurement groups (Bank Reconciliation, Treasury, Financial Planning & Analysis, and Supply Chain) by providing routine and ad-hoc reporting and analysis

Process Improvement

  • Particular focus on automation of AP processes wherever possible

  • Leads others in clerical activities of a unit, provides guidance and instruction; assists in determining work priorities

  • Makes recommendations and executes continuous improvement initiatives

Controls

  • Addresses potential risk and policy violations in a professional manner

  • Protects the organization’s credibility by keeping information confidential

  • Performs/ reviews SOX controls and other compliance activities

10% Project Management

  • Supervises projects, as necessary

  • Communicates with project managers, stakeholders, and management to provide accurate and timely reporting of information

  • Actively supports departmental continuous improvement initiatives

  • Collaborates with the project stakeholders to capture and document the business requirements and desired end-state for the project.

Requirements & Qualifications

Education:

  • Bachelor’s degree in Accounting or a related discipline

Experience:

  • Five (5) years of accounting payable or equivalent experience in a related field preferred

  • Two (2) years of supervisory or lead experience preferred

Knowledge, Skills & Abilities:

  • Oracle Fusion or related ERP experience preferred

  • Strong understanding of 1099 process

  • Days Payable Outstanding (DPO) and cash flow analysis

  • Strong organization skills with ability to manage large workload

  • Ability to work independently, prioritize and meet multiple deadlines

  • Excellent computer skills with proficiency in MS Excel (v-lookups, pivot tables)

  • Ability to manage special projects

  • Experience in satisfying SOX compliance requirements

  • Ability to lead and train others in assigned accounting, clerical or bookkeeping work

  • Ability to respond quickly and accurately to ad hoc requests

  • Ability to express ideas clearly and effectively in both written and oral communications

  • Ability to analyze data and provide recommendations

  • Ability to prepare and present working papers and supporting documentation

  • Highly motived individual with an interest in analysis and the ability to formulate opinions

  • Ability to interface well with personnel at all levels
